Import/Export Data

When you click on “Import/Export data”, you can import registration information or export data on orders, entries, participants, judges, stewards, styles, volunteers, BJCP® Competition Organizer Report, or the logos of participating breweries (in the case of a professional competition)."

You will then access this screen:

If you click on the “Entries” option in “Import Data”, you can upload data related to the entries. This includes selecting whether the entries were received (“Check-in”), sorted (“Sorting”), and judged (“Scores”). It's important to note that to upload this information, you need to respect the header row format as indicated in the provided text and upload it in CSV format. Be sure to include the Judging IDs in this file in case you select the “Sorting” option.

This function is essential for organizers who choose to manage their registration on other platforms.

If you click on the “Extra files” option in “Import Data”, you can perform a mass import of additional files that will be attached to the entries. This is useful when you need to import written scoresheets or award diplomas. These files will be attached to the brewer's scoresheets. It's important to mention that you should respect the format "<judgingID>-Filename.pdf" when importing. If you have chosen to use the same entry label and number for judging in Settings => Judging Options, it will be the entry ID.

In the “Export data” section, you can download the information regarding orders, entries, participants, judges, stewards, styles, volunteers, BJCP® Competition Organizer Report, or the logos of the participating breweries (for professional competitions).

You can choose between a xlsx or CSV format for downloading information regarding orders, entries, participants, judges, stewards, styles and volunteers. For example, when downloading the entries’ information in xlsx format, the Excel file looks like this:

If you want to generate the BJCP® competition report after the competition has ended, for assigning points to the judges, stewards, and staff members, you must click on "BJCP® Competition Organizer Report (XML)" .

You'll need to complete the following form, which is based on the BJCP® competition reports. Instructions on how to fill it out can be found at the following link: https://www.bjcp.org/competitions/rules-regulations/).

  1. Competition Registration Number: The ID provided by the BJCP when you register your competition. This information will not be automatically completed by BAP.
  2. Name: The name of your competition.
  3. Date: The date of judging.
  4. Entries: Number of entries judged.
  5. Days: The number of days the evaluation took place.
  6. Judging sessions: Uninterrupted time periods when at least one panel of judges sits to judge one or more flights of entries.
  7. BOS entries: Number of entries that reached the Best Of Show.
  8. BJCP® Points: These are the allowable points calculated through the BJCP® algorithm that you can assign to your team (judges, stewards, and other staff members). Pay attention to the staff and BOS points; BAP will inform you how many remaining points you have after starting the points’ distribution.

Below is the form used by the app for the distribution of points mentioned in item 8.

A) BJCP ID: If the judge has their ID recorded in BAP, it will be displayed automatically. If not, you can manually enter it.

B) Name: The judge's name as registered in their BAP profile.

C) Roles: Roles for assigning points according to BJCP® rules, including these combinations: Judge, Judge + BOS, BOS Judge, Steward, Organizer, Staff, Staff + Judge, Staff + BOS, Staff + Judge + BOS, and Staff + Steward. Choose a role for each member of your team.

D) Points: Points can be assigned for judging or for other tasks (for example, with a member who had 2.5 points for judging and 0.5 points for being a member of staff, you should complete 2.5 points in the first field and 0.5 points in the second field).

E) Add: Here you can add more members of your team. And with the trash can icon you can delete an existing member.

F) Reset / Save: “Reset” restores the form to the original set up. “Save” keeps your changes.

G) Export now: Clicking on “Export now”, the report is exported in XML format.

When you click on 'Export now,' the report is exported in XML format. The XML file (in this example, CompetitionReport-654321.XML) can be opened with Excel, WordPad, web browsers, XML Explorer, and more. This file can be sent via email to the BJCP® for the awarding of experience points. Please note that the presentation of this report is not done automatically, as BAP does not have a direct connection to the BJCP® database.

The logos of the participants can be downloaded in .zip format. Once the files are opened, the logos can be extracted:
