Registrations
By accessing the ”Registration” option in “Settings”, you can configure various settings such as registration prices, participant discounts, drop-off dates, and more.
You will be directed to the following screen:
Fields to be completed:
- Prices:
- Registration Price: The cost of the registration.
- Currency: The currency of the registration.
- You can add another currency, which is useful if you are expecting entries from different countries. You will have to specify which will be the primary currency.
- You also have the option to add a different price in the same currency, with the ability to specify the name of each price. For example, you can assign one price for members of a particular association and another for non-members. The first image provides an overview from the administrator's perspective, while the second one illustrates the process from the brewer's point of view during the entry registration.
- It's important to note that if you change the price, a warning will be displayed regarding its impact on pending orders, as their prices will be updated accordingly.
- Discounts:
- By selecting “Add” you can include a discount. Specify the minimum number of entries for the discount (“From”) and the maximum (“To”). If there is no upper limit, leave it blank. The discount value will be calculated in units of the chosen currency. You can add different discounts for the various currencies you selected, and more than one discount per currency.
For example, if the registration cost is USD 150, and there is a $30 discount starting from the 4th sample, it should be configured as follows:
It's worth noting that after clicking on “Add” and defining the discount, a simulation of the registration values based on the quantity of entries and the chosen currency will be displayed below it.
- Submission Window:
- Start: The starting date and time for registration.
- End: The ending date and time for registration.
- Drop-off/mail-in window:
- Start: The starting date and time for dropping off entries.
- End: The ending date and time for dropping off entries.
- Limits:
- Maximum entries per participant: The maximum number of entries allowed per participant.
- Maximum entries in competition: The total entries allowed in a competition. This is particularly useful if the organizer wants to control the overall number of entries. Note that this number is set to 15 in free competitions and can only be changed after the setup fee is paid.
- Maximum entries per style: The maximum number of entries allowed per style.
- Style-specific limits: By clicking on "Set limits", you can configure the maximum number of entries for a specific style. This also takes into account the settings in "Maximum entries per style" and "Per entrant style limit".
- Per entrant style limit: The maximum number of entries a participant can submit in one style.
- Edit entries deadline: The closing date for participants to edit their entry data. If this date is provided, it must be later than the registration deadline.
- Number of containers: The quantity of bottles, cans, or other containers required to be sent per entry submitted. This quantity will determine the number of labels generated per entry for a participant to print
In the following example:
Each participant is allowed to submit up to 8 entries. The competition can accommodate a maximum of 800 total entries based on its logistics capacity. For each style, there is a maximum limit of 50 entries, and participants can submit up to 2 entries per style.
However, there are exceptions for Session Beer and American Cream Ale. Participants registering these styles can submit 2 entries per style, with a maximum of 20 entries for Session Beer and 30 entries for American Cream Ale.
Additionally, participants are required to provide 6 bottles for each registration, and they have the flexibility to edit entry details until 11:59 p.m. on 02/25/2024.
- Shipping/Drop-off Instructions: Provide instructions for sending and delivering the entries here.
Enabling the “Block printing labels for unpaid orders” option will prevent entrants who haven't paid for their orders from printing labels for their beers.
- Form Fields: While BAP generates a registration form with basic information for participants and entries, it also allows the addition of customized fields for both.
Clicking on "Entry" will display the following menu.
Clicking on a pencil icon enables you to rename that field, while clicking on an eye icon will hide the field from the brewer's view.

In certain fields, you can make that field mandatory by checking the "Required" checkbox:

You can add additional fields related to the entries for participants to complete by clicking here:
- Field name: The concept to be filled by the participant. For instance, it could be the beer's carbonation level (the “Field id” is completed when filling in the Field name).
- Type: Define whether the field to be filled in is text, a number, a date, a Yes/No answer, or a dropdown option. In the example mentioned above, it can be a dropdown option ("High", "Medium", "Low").
- Required: Activating this option will make it mandatory for the applicant to complete it during registration.
Clicking on "Participant" will display the following menu.
Similar to the "Entry" menu, you can rename or hide fields, or add extra fields in the "Participant" menu.
A useful feature offered by the "Participant" menu is the ability to restrict registration based on specific identifiers. For example, you can limit registration to members of a club by their IDs. To do this, enable the "Restrict values" option and then fill in the "Value" field with the required identifiers (in this case, member IDs), placing one identifier per line.
Participants who fail to provide a valid member ID or submit an incorrect one while registering their entries will be unable to place their orders.
