Check-out (Cellar Master)
Entering “Check out”, an entry can be assigned to a panel (if it has already been sorted) to be judged. However, if the Auto Check Out option has been selected by the Administrator, these steps are not necessary. Auto Check Out is only available for competitions with Queued judging.
It's important to note that for a Cellar Master to assign entries, the panel must have an assigned award category. The path is as follows::
You will then be directed to this screen:
Choosing a judging session is a prerequisite for Check-out. The subsequent steps vary depending on whether the tasting mode is Queued or by Flights. If Queued mode is selected:
All configurations made in Administration => Judging Sessions for each panel will be displayed (First Round, Mid Round, Mini B.O.S., or B.O.S.). You can filter the configurations by selecting the corresponding icon:
Let's start by detailing the Check Out process for the First Round.
First, a panel is selected. In this example, we've chosen panel 1.
If the panel does not have an award category selected for judging, one from the ones assigned to that panel should be chosen. In this example, let's select Hoppy Beers.
The entry you wish to send to the panel is then selected, either by typing the judging code, clicking on it, or scanning the QR code. Afterwards, you should click on "Add to panel", which will make that entry available to be judged by the judges assigned to panel 1 in this case.
If you wish to remove an entry that you have assigned to a panel, you should enter the panel, select the entry, and click on the cross icon in the upper right corner. Its removal should then be confirmed via the pop-up box.
If the Flights judging modality has been chosen, after selecting the assigned award category to judge (in this example, Hoppy Beers), this screen will appear:
In this example, the maximum number of entries per flight that can be assigned to a panel is 8 (as configured by the Administrator). The entries that will comprise that flight are then selected, and it should appear as follows:
The entries that appear in the flight list are the ones that have already been selected. Then, click on the “Add to panel” option to assign them to panel 1. The flight is thus assigned to that panel:
If you return to panel 1 and click on the “Print entries list” option, you can print the list of the entries assigned to the panel for that flight, with a customizable level of detail. Additionally, you have the option to print the labels that will be attached to the cups. This functionality also applies to the Queued service and the different types of rounds (First Round, Mid Round, Mini B.O.S. or B.O.S.).
For example, if you decide to print the list of entries, it will appear as shown below:
Alternatively, printing the labels will produce a layout similar to what's displayed in the following image:
Just like in the Queued option, if you wish to undo the flight assignment for that panel, enter the panel, select the flight, and click on the cross icon. You will then need to confirm its removal.
You can remove an individual entry from the flight. Just wait a couple of seconds, and a new window will pop up. Select the entry you want to remove and that's it.
If you have previously created the flights in the Administration => Flights menu, the screen changes slightly upon entering the panel:
In this case, the flights already appear with entries grouped, so what is assigned to the panel directly is the flight when clicking on it and then on “Add to panel” (rather than the individual entry):
When there are panels that judge a Mid Round, it is necessary to perform a second Check Out. The entries that advanced to the Mid Round (either chosen by the panel captain or by the Administrator) will be displayed for the Cellar Master when accessing the Mid Round option for the selected panel in the Check Out menu.
The criteria is the same as when creating the flights in the First Round for the Flights judging modality.
You don’t need to perform an additional Check Out for Mini B.O.S. or B.O.S.
